How VoiceSuites works
VoiceSuites is a self-service business phone system. You describe your business, and VoiceSuites builds a working system for you: greetings, menus, routing, queues, schedules and voicemail. You can call it and hear it before you buy a number, and you only go live when your team is ready.
The building blocks
Section titled “The building blocks”| Part | What it is |
|---|---|
| Company Menu | The first thing callers hear on your business line: your greeting, and the choices that take them to the right team. |
| Team lines | One line for each part of your business that callers can reach, such as Sales, Support, Billing or Reception. Each has its own greeting, queue, schedule, languages and voicemail. |
| Direct lines | An extra number that rings one person or one purpose, with its own voicemail and history. |
| Users | The people on your team. A person can answer for several team lines at once. |
| Devices | Where calls ring: the desktop app, the mobile app, a browser, or a SIP desk phone. One person can use several at once. |
| Website calls | A call button for your website and a Call Link you can share, so customers can call you from their browser. |
How a call moves through your system
Section titled “How a call moves through your system”- A customer calls your business number, or clicks your website call button.
- They hear your greeting and, if you offer more than one, choose a language.
- They choose a team from the Company Menu, by pressing a key or, with Smart Menu, by saying what they need.
- The call goes to that team’s queue and rings the people who answer for it, on whatever devices they use.
- If no one answers, or it is after hours, the caller is sent where you decided: voicemail, another team, or an after-hours message.
- Missed calls and voicemails show up for the team, so someone can take ownership and call back.
Every call keeps a call journey: which number was called, what the caller heard and chose, where the call was routed, who was tried, and how it ended. When a customer says “I called, but nobody answered”, you can see exactly what happened.
Start small, or run the whole company
Section titled “Start small, or run the whole company”You don’t have to replace everything at once.
- One number. Keep business and personal calls apart with a business number in the mobile app.
- One workflow. Add a better Sales, Support or Scheduling line next to the phone system you already have.
- Complete system. Build every menu, team and line, test it, and connect your numbers when you’re ready.
- Temporary operation. Run a complete system for an event, season or project, and close it when the work ends.
Whatever you start with, your first number grows with you. You can add teams, menus, people or locations later without replacing the number or losing its history.
